Several on-call services in parallel, each with its own number
As many independent rotations as you need: a change in one does not affect the others. Each has its own on-call number.
The solution
The rota, calls and hours all reflect the same changes. Here is what that means for the manager and the team.
01 / Prepare
Prepare your weekly templates, then let qualified colleagues take their slots. See which shifts are covered and which still need someone.
Roll out this template again for October: 21 periods added, 2 adapted, 6 left untouched because someone is already signed up.
As many independent rotations as you need: a change in one does not affect the others. Each has its own on-call number.
A period can require several people in several roles: Operations ×1, Electrical/instrumentation ×2. Each role has a list of qualified people and a place in the calling order.
Define your standard week once and roll it out from September to December. Rolling it out again adds missing periods and adapts what has changed: it never destroys a period that is already filled or has been edited manually.
A day, half a day, a night, a whole weekend. Across midnight and clock changes. Dividing periods into smaller slots breaks neither routing nor hour totals.
A public holiday, extra support, a cancelled shift: add or edit a period outside the template without changing the rest.
Week view, month view and a summary per person, with their hours and number of shifts. The view you need to balance workloads and know whom to ask for cover.
Filter by role and shift type in all three views. The electrical team lead sees only what concerns them.
Each qualified person takes their own slots from their phone. A coordinator can also sign someone up on their behalf.
“Me, Doctor role, every Tuesday and Thursday, every other week, from September to December.” The preview shows what is free, already full or already yours, as you go.
Each period knows whether it is fully staffed. An unfilled required slot becomes a gap in cover, visible on the dashboard as soon as it enters the look-ahead window you set.
At a second, closer deadline, a notification goes to managers or directly to people who could fill the gap. You don’t have to watch the rota to find out. Both look-ahead windows are set per rota.
The secretary manages shifts, not telephony. The “assign” permission lets them fill and clear the rota without changing templates or routing.
02 / Hand over
A colleague takes over four hours or a whole shift. The request, confirmation and change of call recipient stay connected.
Each rota has a notice period. With enough notice, you can release your shift. After the deadline, the only way out is to find cover: coverage is protected by design.
“I’ll keep my weekend, except Saturday from 14:00 to 18:00.” You remain signed up outside the window you hand over, and start receiving calls again at 18:00.
The offer goes to all qualified colleagues, or to one or two people you name. Nobody else is disturbed.
Available cover opportunities, your requests and accepted offers, all in one place. Both people involved are notified at every step.
As soon as the offer is accepted, calls during that window ring the person providing cover. Nobody to notify, no forwarding to reconfigure.
A manager can remove an unreachable person from their shift without notice, through to the end of the period. The slot becomes a gap in cover again, and an alert goes to those who can take it.
03 / Answer
Calls follow the rota. Choose who to call first and what happens if they do not answer.
Repair team
A call at 13:45Your on-call number
rings through to Alice Martin
Alice is on call. Simon will take over at 14:00.
A call at 15:30Your on-call number
rings through to Simon Dubois
Simon has taken over this slot. No call forwarding to reset.
A call at 18:05Your on-call number
rings through to Alice Martin
At 18:00, calls return to Alice automatically.
Each on-call number points to a rota. Several numbers can point to the same one: your public 0800 number and the head office’s internal line, for example.
Direct: only the assigned person. Sequential: one person after another, in role order, with an adjustable timeout. Simultaneous: everyone at once; the first person to answer takes the call.
The person who answers presses a key before being connected. An answering machine presses nothing: the call moves to the next person instead of ending up in voicemail.
A role can appear in the rota and hours report without ever receiving a call.
While the phone rings, the caller hears a message instead of a tone. You type the text and 1shift generates the audio: no microphone recording needed.
The call arrives with the caller’s real number and the rota name as a prefix when the phone supports it: “Alice · Repairs”. The on-call person’s personal number is not shown to the caller.
Two cases, configured separately: outside on-call periods and on-call person not reached. For each, choose to transfer to a member or another rota, play a message, take a voice message or hang up.
The caller leaves a message, the rota’s team is notified and the recording can be played in the application, next to the call in the history.
04 / Review
Review the path of calls the next day. At the end of the month, prepare the on-call hours report, including cover arrangements.
| Person | Role | Shifts | Hours |
|---|---|---|---|
| A. Martin | Technician | 6 | 128:00 |
| N. Haddad | Technician | 5 | 106:30 |
| S. Dubois | Technician | 4 | 88:00 |
| K. Benali | Supervisor | 7 | 84:00 |
Hours come from the log of what was actually covered, including partial cover arrangements — not from the rota as originally planned.
They are deactivated, not deleted: past shifts remain under their name in reports. New members receive an invitation by email, in their language.
A group brings members together. Give the group its permissions once, and every member has them.
View, assign, manage: per rota. And “who can fulfil this role”: per role. A rota is visible to everyone by default and can be restricted.
By month, person, role and shift type, to the minute, including former members. Two CSV exports: a summary and a shift-by-shift breakdown that payroll can open in Excel. 1shift counts hours; it does not calculate pay.
A locum doctor, a freelancer, a technician working across two sites: the same person can belong to several organisations and switch between them.
French, Dutch and English, chosen by each user — not by the organisation.
Two-factor authentication with an authenticator app and recovery codes, email address verification and password reset.
People on call see their slots in their usual calendar and choose their notifications. The interface is available in French, Dutch and English. Each member’s permissions can be set for each rota.
When they open the application, each person sees in one sentence whether they’re on call, when their next shift is and what needs their response. You see whether your rotas are covered.
Each person subscribes to their shifts from Google Calendar, Apple Calendar or Outlook, once. Shifts appear alongside appointments and update automatically: if a colleague takes over Saturday afternoon, both calendars show it.
The personal calendar brings all rotations together and totals the month by rota and role. These are the hours actually covered: four hours handed over on a Saturday means four hours fewer.
A notification goes out when something changes for them: the day before a shift, when a colleague needs cover, when their own request is accepted, when someone leaves a voice message or when a gap still needs filling. Each person chooses what they receive and where: on their phone, by email or in the application.
Add it to the home screen on iOS and Android, without an app store. Dark mode for the night shifts.
