Controller and scope

This policy covers the 1shift marketing website and exchanges relating to contact or demonstration requests. The controller is Samplay SRL, whose details appear below. It does not describe processing performed for customers within the 1shift application, which is covered by separate information and commitments.

Data we receive

The form requires your name, organisation and email address. It cannot be submitted without them; you may also email us directly. Your phone number, sector, team size and details of your situation or enquiry are optional. We also retain correspondence, the request date, language, IP address and browser information. Please avoid sending sensitive data or personal information about others that is unnecessary for your enquiry.

Purposes and legal bases

We use the data to respond to your enquiry and prepare a conversation or demonstration. When you request steps towards a contract to which you would personally be a party, processing is based on those precontractual steps (GDPR Article 6(1)(b)). For contacts on behalf of an organisation and other enquiries, it is based on our legitimate interest in handling professional enquiries (Article 6(1)(f)). Technical data supports website operation, security and diagnosis, based on our legitimate interest in protecting the service. Submitting the form does not subscribe you to a newsletter. No decision with legal effects is made solely by automated processing of your enquiry.

Recipients and locations

Your enquiry is stored in our database and emailed to the people authorised to handle it at Samplay SRL. The website’s dedicated server is hosted by Hetzner in Falkenstein, Germany. Emails are sent through Scaleway Transactional Email in the Paris region, France. Technical providers process data as necessary to deliver their services.

Email, backups and retention

Messages submitted through the form are emailed to the administrator of Samplay SRL to handle your enquiry. Messages and backups are retained for no longer than 12 months.

Necessary cookies

The website uses first-party session and form protection cookies necessary for operation and security. The 1shift-session cookie maintains the session, including form confirmation messages and errors; XSRF-TOKEN protects against forged requests. The session cookie duration is 120 minutes of inactivity; XSRF-TOKEN lasts 120 minutes of inactivity. These durations are renewed when you use the website. No advertising cookies or audience analytics tools are integrated into the website. You can delete or block these cookies in your browser settings; the form may then stop working correctly.

Your rights

Subject to the conditions in the GDPR, you may request access, rectification, erasure, restriction of processing and, where applicable, portability of your data. You may object to processing based on legitimate interests on grounds relating to your particular situation. Email hello@1shift.be. We normally respond within one month of receipt; an extension of two months is possible for complex or numerous requests, and we will inform you within the first month. Proportionate identity verification may be necessary if there is doubt.

Complaints

You may lodge a complaint with the Belgian Data Protection Authority or the competent authority where you habitually reside, work or where the alleged infringement occurred.

Changes to this policy

This policy will be updated if website processing changes. You will receive the necessary information before your data is used for a different purpose.
